From a Facebook Friend to a Forever Client: The Power of Trust in Event Planning
Have you ever had a moment where a total stranger puts their entire vision, their budget, and their most precious family memories in your hands?
In the world of event planning and catering, we talk a lot about "contracts" and "logistics," but at the end of the day, this business is built on one thing: Trust. Today, I want to take you behind the scenes of a very special event - a wedding reception that started with a simple Facebook message and turned into a beautiful, multi-year relationship that continues to this day.
The Power of a Digital Connection
Social media is a funny thing. We "know" people for years without ever actually meeting them. This was the case with a Facebook friend of mine. We had been in the same digital circles for a while, but we had never spoken in person. Then, one day, she reached out via Messenger.
Her son was getting married in December 2023, and she needed help with the reception.
She didn't have a massive corporate budget. She didn't have a 50-page mood board. In fact, she was feeling a little lost about what to do. She sent me one single picture of a backdrop she liked, and that was it. That was the seed from which we had to grow an entire wedding reception.
Turning a Budget into a "Wow" Moment
When we moved the conversation to WhatsApp, I could feel her excitement, but also her nerves. Weddings are expensive, and as a mother, she wanted to give her son the best day possible without breaking the bank.
This is where the "art" of event planning comes in. It’s easy to plan a wedding when money is no object, but the real skill is in making a smaller budget look like a million bucks. I sat down and started brainstorming. I wanted to create a package that covered everything so she didn't have to stress. I sent her a quote that included:
Customized Decor: Based on that one photo she loved.
Savoury Platters: For guests to nibble on.
Our Signature Spitbraai Catering: For a hearty, celebratory meal.
I remember sending that quote and holding my breath. At 6:30 AM the very next morning, my phone buzzed. It was the proof of payment for the deposit. She didn't hesitate. She simply said, "I trust you."
Assembling the Dream Team
The moment that payment cleared, I went into "Action Mode." At GLAMMAMIS EVENTS, I am only as good as the team behind me. I immediately contacted my Chef and Thandi, our incredible lady in Operations for Decor and Function Hire.
I gave them their tasks and made one thing very clear: "We cannot let this client down."
When someone gives you their "Yes" at 6:00 in the morning, they are giving you their peace of mind. For the next five or six months leading up to December, I made it my mission to keep her in the loop.
The Consistency of a Great Client
I have to take a moment to celebrate the client herself. Every single month, without a single reminder from me, she would make her payment and send through the proof of payment.
As an entrepreneur, you know how rare and wonderful that is! It allowed us to plan with confidence. As the wedding grew closer, her excitement grew, and I could feel the momentum building. By the time December arrived, we weren't just a "vendor" and a "client" - we were partners in making a dream come true.
The "Thandi Touch" and the Night Before
The night before the wedding, Thandi and the team were on-site, bringing the vision to life. As they were decorating, Thandi noticed two small details that weren't on the original quote. She realized that by adding these two extra touches, the reception would look "perfect" instead of just "good."
Thandi suggested these to the client on the spot. Because we had built such a strong foundation of trust over the previous months, the client didn't even blink. She messaged me immediately, asked for the price for the extras, and paid right then and there.
That is the beauty of a healthy business relationship. When you show the client you have their best interests at heart, they are happy to invest in the excellence you provide.
The "Spitbraai" Success
When the day finally arrived, the feedback was overwhelming. People couldn't get enough of the Spitbraai. The meat was tender, the platters were disappearing faster than when they put they out, and the bride and groom were glowing.
In fact, the food was such a hit that the client contacted me immediately after the wedding to order more platters for Christmas Day! She said the family just had to have that taste again for their holiday celebration.
2026: A Relationship Built to Last
We are now in 2026, and I am so proud to say that this Facebook friend is still a loyal client. Over the last few years, she has come back to us again and again.
This year, she reached out for another family milestone: her husband’s birthday get-together. And what did she want? Our famous Spitbraai catering, of course!
Lessons for Every Event Planner (and Client)
Looking back at this journey, there are a few "Stress-Free" secrets I want to share with you:
Start with the "Why": This client didn't need a massive wedding; she needed a meaningful one. Always focus on the feeling of the event first.
Communication is Key: Even if there’s no "news," a quick "We’re on track!" message goes a long way in calming a client's nerves.
Trust Your Team: I couldn't have delivered this without Thandi and our Chef. Surround yourself with people who care as much as you do.
Budget is a Boundary, Not a Barrier: You can create magic with a modest budget if you are creative and honest about where the money is going.
Final Thoughts: The Heart of the Business
